Voice Mail

Voice Mail Instructions

“Authorized users” (requests for activation of this service must be sent by e-mail to telecom@ictp.it) have the option to record and leave personalized voice messages on the system for periods when they are absent from their office.

Callers have the option to leave voice messages if the required number is busy or if there is no response. Please note that certain telephone sets/extensions will require a new configuration.

In order to activate this service it is necessary to carefully follow the recorded instructions for the first time. It is recommended to change your password from your main extension number + 0 (e.g. 1230) to a personal 4 digit code password.

ACTIVATION

To log in to the voice mail system:

  Dial “119”.
  Enter your password  “your main extension number + 0” and 
  follow recorded instructions. 

For security reasons, you should change your password from the one you were first assigned (your Main extension +0 or the new personal code inserted at the time of activation). After that, you can change your password as often as required

It is highly recommended that you record your own personal message requesting callers to leave their name and number since the system mail box does not record the number of the caller

You should also delete messages once they have been heard in order to allocate space for other users

PLAYING MESSAGES

  • To play your messages from analogical or telephone sets without a display:
      If you hear a double beep signal after picking up the receiver
      this means that you have one or more messages in your mail box.
    
      Dial “119”
      Enter your password  (4 digit code) 
      Listen to messages and follow instructions  
    
  • To play your messages from digital telephone sets with a display model “Premium Reflexes”:

    Your telephone may have a message-waiting indicator that notifies you when you receive a new message. If the message-waiting indicator of your telephone lights or flashes, please observe the following instructions:

       Press “Message” key.   
       Press “OK” key twice   
       Enter your password  (4 digit code) 
       Listen to messages and follow instructions
    

  • To play your messages from digital telephone sets with a display model “Advanced Reflexes”:

    Your telephone may have a message-waiting indicator that notifies you when you receive a new message. If the message-waiting indicator of your telephone lights or flashes, please observe the following instructions which can either be done through the keyboard or visually through the keys placed directly under the display:

       Press “Message” key.   
       Press “OK” key twice   
       Enter your password  (4 digit code) 
       Listen to messages and follow instructions
    

  • To play your messages from “Siemens” cordless telephone sets:

    In order to verify if messages have been recorded it is necessary to press the green receiver “call” key (on the left hand side) and listen to the dial tone. A double beep indicates that you have one or more messages in your mail box:

       Dial “119”.
       Enter your password  (4 digit code) 
       Listen to messages and follow instructions
    

  • To play your messages from “Alcatel” cordless telephone sets: If messages have been recorded a small message icon will appear on the display:
      Dial “119”.
      Enter your password  (4 digit code) 
      Listen to messages and follow instructions
    

If you have both a fixed telephone set and a cordless phone please remember to verify on both sets whether messages have been recorded.

  • To play your messages from other telephone sets or from outside the premises with DTMF (dial tone) features activated:
      Call your number
      While listening to the voice mail box press # (hash)
      When requested enter your password (4 digit code)
      Listen to messages and follow instructions
    

CHANGING YOUR FEATURES

To change your password: For security reasons, you should change your password from the one you were first assigned (your “Main extension” +0 or the new personal code inserted at the time of activation). After that, you can change your password as often as required:

  Dial “119”.
  Enter your password  (4 digit code)  
  Press 4  (to enter Personal Options)
  Press 2  (to enter Administrative Options)
  Press 1  (in order to Change Password)
  Press 1  (Insert new password)
  Press # (hash)

To change your personal message:

  Dial “119”
  Enter your password  (4 digit code)  
  Press 4  (to enter Personal Options)
  Press 3  (to record Greetings)
  Press 1  (to enter  Personal Greetings)
  Press 2  (to record Personal Greetings)
  Press 1  (to change your Greetings)
         at the tone record your greetings and at the end of 
        your greetings
  Press # (hash)
